Best CRM for real estate wholesalers: 12 tools compared, with real prices

There is no single right CRM for every wholesaler. The right one depends on how you find deals and on who makes the calls. This guide puts 12 tools side by side using each vendor’s own published prices, checked in September and October 2026, and says who each one fits.

A note on who wrote this: ARIA publishes this guide, and ARIA is one of the 12 tools. Every other tool gets the same treatment, including where it is the better pick, and each one has its own page with the sources behind it.

THE SHORT ANSWER

THE JOB

What a wholesaling CRM has to do.

Six jobs take a seller from a first hello to an assigned contract. Judge every tool by which of them it does, and which it leaves to another subscription.

  1. Catch every lead in one place

Web forms, calls, texts and list imports should land in one pipeline, with duplicates caught, so no seller sits unanswered in an inbox.

  2. Make the first call fast

Speed matters more than most features. A Harvard Business Review study found that firms which tried to reach a new lead within an hour were nearly seven times as likely to qualify it as firms that waited even an hour longer. Check who makes that call in each tool: a person on a dialer, or an AI agent.

  3. Keep following up

A seller who is not ready today may be ready in a month. Look for follow-up tasks, drips and reminders that run without you having to remember them.

  4. Price the deal

Comps, after-repair value and the maximum allowable offer. Some CRMs include them, some sell them as upgrades, and data tools often do this part well.

  5. Put it in writing

Contracts and e-signature inside the pipeline remove a separate e-sign subscription and a copy-and-paste step.

  6. Find the buyer

A wholesale deal is not done until it is assigned. Cash buyer search and a buyers list are sold as separate products by several vendors.

THE MAP

Four kinds of tools.

Much of the confusion in this category comes from comparing tools that do different jobs. Sort them first.

All-in-one investor CRMs

A pipeline with a phone system, texting and follow-up built in. This is what most people mean by a wholesaling CRM. They differ in how many users they seat, what they bill per use and how they sell AI calling.

In this guide: REsimpli, FreedomSoft, REI Reply, ARIA.

Data and list tools

Property records, list building, skip tracing, driving for dollars and direct mail. They find the owner. The three in this guide have no contracts or e-signature, so wholesalers usually run a CRM beside them.

In this guide: PropStream, DealMachine, BatchLeads.

General-purpose CRMs

CRMs made for any sales team. They hold contacts and a pipeline well, and several cost less per seat than an investor CRM. The real estate parts are yours to add: property fields, deal math, comps, skip tracing, contracts and buyers, usually through custom setup and other subscriptions.

In this guide: GoHighLevel, HubSpot, Pipedrive, Salesforce.

Build-your-own

A general work platform shaped into a CRM with templates and automations. You get every field your way; the phone, data and e-sign tools come from other vendors, and the upkeep is yours.

In this guide: Podio.

One rule applies to all of them. In February 2024 the Federal Communications Commission ruled that calls made with AI-generated voices count as artificial or prerecorded voice calls under the Telephone Consumer Protection Act, which generally means the person called must have agreed to it first. State rules can be stricter. This is general information, not legal advice. ARIA’s agent is built to call leads who asked to hear from you.

Ruling cited: Federal Communications Commission: Declaratory Ruling FCC 24-17 (February 2024).

THE WHOLE JOB

What the whole job costs.

A data tool or a build-your-own CRM is one part of the work, so its plan price is not the whole bill. These are stacks wholesalers typically assemble around tools in this guide, priced from each vendor’s published plan.

HOW TO CHOOSE

Five questions that settle it.

  1. Who makes the calls?

If your team dials, weigh the dialer and whether minutes are billed per use. If nobody has time to dial, weigh the AI agent and how its minutes are billed.

  2. How many people need a seat?

Entry plans here run from one user to every user on one plan. ARIA is single-user today.

  3. Where do your leads come from?

Lists, mail and driving point to a data tool with a CRM beside it. Inbound leads from ads, websites and referrals point to a CRM that calls back quickly.

  4. Do you want to build it or buy it?

Building gives you every field your way, and a maintenance job. Buying gives you a working pipeline on day one.

  5. What does usage add?

Per-minute calling, per-text fees, per-record skip traces and data credits sit on top of several plans here. Estimate a normal month before you compare plan prices.

FAQ

Questions, answered.

What is a wholesale real estate CRM?

It is software that tracks a seller lead from first contact to a signed contract and an assigned deal. A wholesaling CRM usually combines a pipeline, calling and texting, follow-up reminders, deal math and documents, so a lead does not go quiet between steps.

Which CRM is best for real estate wholesalers?

It depends on how you work. A team that dials by hand is well served by REsimpli. A small team that wants list building and direct mail inside the CRM can look at FreedomSoft. A builder who wants full control can use Podio. A solo wholesaler who wants an AI agent to make the first call can look at ARIA. Data tools such as PropStream, BatchLeads and DealMachine find the owners and are usually paired with a CRM. General CRMs such as HubSpot, Pipedrive, Salesforce and GoHighLevel can be configured for wholesaling, with the real estate parts added by you.

How much does a wholesaling CRM cost?

Among the 12 tools in this guide, listed monthly prices for the entry plan run from $20 to $299, before usage fees. Several vendors bill calls, texts, skip traces or AI minutes on top, and some sell AI calling agents as a separate purchase.

Do I need a CRM and a data tool?

Many wholesalers use one of each. A data tool builds the list and finds the owner, and a CRM works the lead once the owner responds. Some CRMs here include list building of their own. ARIA includes a lead finder and a cash buyer finder, with comps on its Max plan, and it does not offer nationwide list building.

Which wholesaling CRMs include AI calling?

Of the tools here, ARIA and REI Reply include an AI voice agent in the plan. REI Reply bills her call time by usage, and ARIA includes 100 minutes a month on Pro and 400 on Max. REsimpli and FreedomSoft sell AI calling agents as paid upgrades, and GoHighLevel sells Voice AI by usage or as a monthly add-on. HubSpot’s agent answers inbound calls on higher editions, and Salesforce’s is reserved for higher editions. Podio, PropStream, DealMachine, BatchLeads and Pipedrive do not sell an AI calling agent.

Can an AI agent legally call seller leads?

It depends on who is called and what they agreed to. In February 2024 the Federal Communications Commission ruled that calls made with AI-generated voices are covered by the Telephone Consumer Protection Act’s rules on artificial or prerecorded voices, which generally require the called person’s prior consent. State rules can be stricter. This is general information, not legal advice; check with an attorney before any tool places calls for you. ARIA’s agent is built to call leads who asked to hear from you.

Is there a free CRM for real estate wholesalers?

Podio has a free tier for up to five users, without the workflow automation its paid Premium plan includes. REsimpli offers a 14-day free trial, and ARIA offers a 7-day free trial of its Pro plan. FreedomSoft and REI Reply do not offer a free trial on their public pages.

Can I switch CRMs without losing my leads?

Usually, yes. Each tool in this guide lets you export leads or lists, and a CSV file can be imported into another CRM by matching each column to a field once. Run the two side by side for a week before you cancel the old one.
